Overview:
We are seeking a detail-oriented and highly organized Virtual Assistant to support our executive leadership team of 6-8 members. The ideal candidate will manage communication, scheduling, and coordination tasks to ensure smooth and efficient operations.
Key Responsibilities:
Communication Management:
Manage and respond to emails via Gmail on behalf of the executive team.
Handle and respond to messages through various messaging apps, including WhatsApp.
Meeting Coordination:
Review meeting requests, check the availability of attendees, and schedule meetings using Google Calendar.
Meeting Invitations & Reminders:
Send meeting invitations to attendees and provide timely reminders via messaging apps to ensure all participants are informed.
AI Note-Taking Coordination:
Facilitate and coordinate the use of AI-powered note-taking tools during meetings to ensure accurate documentation and timely follow-ups.
Qualifications & Skills:
Availability:
Must be available to work from UTC 8:00 to 15:00 (max 25 hours/week to start).
Communication Skills:
Excellent written and verbal English communication skills.
Technical Proficiency:
Strong skills in Google Suite (Google Calendar, Gmail).
Proficient with messaging apps like WhatsApp.
Experience:
Previous experience as a Virtual Assistant or in a similar administrative role preferred.
Ability to coordinate schedules and manage multiple priorities effectively.
Organizational Skills:
Exceptional multitasking and organizational abilities with attention to detail.
Independence:
Ability to work remotely, manage tasks independently, and meet deadlines.
