Job Overview:
We are seeking a highly organized and tech-savvy Executive Assistant to join our dynamic team. This role is pivotal in streamlining operations and providing essential support to senior management. While experience in construction is beneficial, it is not required.
Key Responsibilities:
Email Management: Organize and manage incoming and outgoing emails efficiently.
Online Drive Management: Maintain and organize digital files and documents for easy access.
Task Follow-up: Ensure timely completion of tasks and projects across teams.
Agenda Creation: Prepare and distribute detailed meeting agendas.
Meeting Summaries: Produce concise and accurate summaries of key meetings.
ClickUp Management:
Track proposals and bids.
Manage action items, tasks, and updates.
Create and maintain Standard Operating Procedures (SOPs).
Optimize ClickUp workflows for better team productivity.
Data entry and CRM maintenance within ClickUp.
Spreadsheet Management: Create, update, and manage spreadsheets for project tracking and reporting.
Administrative Support: Assist with other administrative and operational tasks as needed.
Requirements:
Proven experience as an Executive Assistant or similar role.
Proficiency in ClickUp or similar project management tools is a plus.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite and Google Workspace.
Ability to handle confidential information with discretion.
Self-motivated and proactive in problem-solving.
